    All About Insurance

    Q: What insurances do you accept and how do we find out if you accept my insurance?

    A: OAC accepts traditional Medicare Part B and supplemental insurances as well as some private insurance payers (UHC, Cigna, BCBS, Anthem). If you’re unsure whether OAC accepts your insurance, please call 703- 667-0752.

    Q: If I have Medicare, how does my insurance work with OAC and do I have to do anything?

    A: After your session with your therapist, OAC submits the claim to your insurance. With Medicare, they process the claim and pay OAC 80%. Medicare then sends the remaining 20% balance to your supplement. If Medicare does not send it over automatically then OAC will submit it. Your supplement with then pay OAC the remaining 20%.

    Q: What if I don’t have supplemental insurance?

    A: If you do not have supplemental insurance then you will be responsible for the 20% co-insurance which is $27.15 per 60-minute session in 2026.

    Q: If I have another private insurance, how does that work with OAC?

    A: OAC will submit the claim to your insurance and will mail you an invoice if there are any deductibles, co-pays or co- insurances due.

    Q: What if I don’t have any insurance or if you don’t accept my insurance?

    A: OAC will provide you a Super Bill that contains all the necessary information for you to send to your insurance directly. You will be invoiced monthly and will be responsible for full payment of services.

    Q: How do I know what my deductibles, co-pays and co-insurances are?

    A: The most reliable way to find out this information is to call your insurance directly by dialing the Member Services number on the back of your insurance card. If you need assistance, you can call OAC at 703-667- 0752.

    Q:What if I owe money to OAC, how do I pay?

    A: When you receive an OAC invoice or statement, you can send a check to 7219 Heron Place, Warrenton VA 20187. To pay by credit card, you can go online or call 703-667-0752. We can also store a credit card on file and charge your card monthly and send you a receipt after the payment has processed.

    Q: Does Insurance, specifically Medicare, still allow for me to see a therapist virtually or via telehealth?

    A: Yes, there are no restrictions for OAC’s virtual or telehealth therapy services. If you have any additional questions, please call 703-667-0752.

    All About Therapy Sessions

    Q: Are my therapy sessions confidential?

    A: Yes! Not only are there HIPAA laws that protect your information, but there are also ethical codes of conduct that all our therapists abide by. Therapists cannot say anything about your appointments, financial obligations, or therapy sessions to anyone you have not given permission to. This includes, but not limited to your spouse, children, other family members and friends. You can give permission to OAC to talk to anyone if you have provided consent for them to do so. Please note, OAC does have an “Obligation to Report” if a client appears to want to harm themselves or others.

    Q: Where do I go for therapy?

    A: OAC has an office in the City of Fairfax, close to the courthouse. Our address is 10615 Judicial Dr. Suite 301, Fairfax 22030. We also see clients virtually or via telehealth. This can be either by audio/visual like Zoom or as simple as a phone call. Some OAC therapists will go to your home or community.

    Q: How long do therapy sessions usually last?

    A: From a billing perspective they are 30-, 45- or 60-minute sessions. From a clinical perspective it will depend on the therapist and the client and can vary between sessions.

    Q: How often does someone usually go to therapy? Or how many therapy sessions will my insurance cover?

    A: Therapists generally offer weekly, biweekly or monthly session. How often you will see your therapist will be determined between you and your therapist. Therapy may also stop for a while when life is more stable and then pick back up when needed. There is no magic formula and can change as your needs change. Medicare has no limitation on number of sessions they will pay for. 

    Q: What are some reasons to go to therapy? Why would I need or want to go to therapy?

    A: Therapy is used for a wide variety of reasons including, but not limited to, grief and bereavement, family conflict, health concerns, life transitions, loneliness, and isolation. Going to therapy, at the very least, is to make you feel better and have a happier life.

    Q: What happens if I don’t like my therapist?

    A: If you don’t think you are a good fit with your therapist, that’s ok! Please call 703-667-0752 and we can talk about options. You don’t have a contract with OAC so you can stop therapy at any time.

    Q: What happens if I’m just too tired and I don’t want to go to my scheduled therapy appointment? Is there a cancellation fee?

    A: We ask that you give your therapist at least 24 hours advanced notice if you are unable to attend your therapy session. A fee may be charged if we were not notified within this timeframe. We do understand that there may be unavoidable or unforeseen circumstances that prevents cancelling your appointment within 24 hours. This fee is applied on a case-by-case basis.

    Getting Started with OAC

    Q. How do I get started with a therapist at OAC?

    A; There are two easy ways to get started. You can complete our Online Consultation Request form or you can call 703-667-0752 and we will complete the form together over the phone.

    Q: After I complete the form or after we talk on the phone, what’s next?

    A: Once the initial conversation is complete, OAC’s Clinical Referral Coordinator determines who they feel is the best fit between you and one of our therapists. Within two weeks, that therapist that has been assigned to you will call to introduce themselves and to set up your initial Intake Appointment. Your assigned therapist will provide you with their contact information and they will also collect your insurance information. You will receive an invitation to sign up for the OAC Client Portal where you can complete additional paperwork.

    Q: How long between when I have that initial conversation and when a therapist will reach back out to me?

    A: We say to give it two weeks and to call back if you haven’t heard from someone by then.

    Q: What happens if I don’t hear from anyone?

    A: If you haven’t heard from an OAC therapist after two weeks of that initial phone call, please call 703-667- 0752.

    Q: How do I fill out all my paperwork and send in my insurance information?

    A: Once your appointment has been scheduled, you will receive an invitation to the Client Portal. Here you will sign the OAC Important Information document, update your demographic information and upload copies of your insurance cards. Once you sign up for the Client Portal you will also receive appointment reminders, be able to message your therapist and have access to pay your bill online. You can also download the forms from the website, print and mail back the signature page to the OAC office. If needed, the OAC Administrator can mail you a copy of the paperwork with a self-addressed envelope for you to send back a signed copy of the OAC Important Information document and copies of your insurance cards.
